Position Title: Concierge Services Manager 

Reports to: Vice President of Events

 

Position Purpose

The Concierge Services Manager is responsible for professional, efficient, and confidential service to all guest artists and their teams while at Allied Solutions Center for the Performing Arts. The Concierge Services Manager supervises the Lead Artist Concierge, who also serves as the hospitality point-of-contact for the venue, as well as all part-time Artist Concierges.

Concierge Services for Guest Artists

  • In conjunction with the Lead Artist Concierge, handle all advancing for guest artists pertaining to ground transportation, hotel accommodations (if required), hospitality and catering, including dietary requirements.
  • Purchase and order required items and equipment.
  • Maintain and launder table linens, towels, etc. for the department.
  • Work with chef and outside caterer to develop meal menus for guest artists and crews.
  • Schedule, supervise and train artist concierges and runners.
  • Work with Front of House and the Development team as needed to arrange artist Meet & Greets and VIP Events with donors and patrons.
  • Work show days/or schedule other concierge coverage. Meet and welcome tour staff and serve as their point-of-contact during show days.
  • Research and maintain relationships with local vendors for hotel accommodations, restaurants, rental cars, car service, and other amenities to be used by guest artists.
  • Participate in weekly Events  meetings regarding upcoming performances and events.
  • Code monthly expenses for approval.
  • Approve timesheets for payroll bi-weekly and supervise artist concierge team.

 

Internal Hospitality

  • Order or purchase ASCPA crew hospitality items including coffee, water and snacks at all times.
  • Order all supplies and maintain coffee and water service for Center Conference Rooms.
  • Assist, as needed, Events Team, with internal events (board breakfast, bookies, etc.).

 

Transportation

  • The Concierge Services Manager must possess a valid Driver’s License and have and maintain a good driving record.
  • Will be required to drive a 14-person van, periodically, as well as rent vehicles.

  • Proficiency in Microsoft Office (Outlook, Word, Excel), and other software applications necessary to perform essential job functions and support other team members.

 

Education and Experience

To perform this job successfully, an individual must have the following education and/or experience.

  • Bachelor’s degree in hospitality preferred, or equivalent work experience
  • 3-5 years of customer service or event planning experience
  • Working knowledge of Microsoft Office – Outlook, Word, Excel
  • Ability to learn technology as needed (Momentus Elite or similar event software)
  • Sewing and Wardrobe experience a plus

 

Supervisory Responsibility

This position supervises the Artist Concierge Team (5).

 

Work Environment

This position operates in a performance arts venue environment and routinely uses standard office equipment such as computers, phones, copiers, etc. Oversees and performs food set-up, service and clean-up.

Position Type and Expected Hours of Work

This is a 30-hour per week, full-time, non-exempt position with a full range of benefits, including 401(k) and Paid Time Off. Typical office days and hours are Monday through Friday, 8:30 a.m. to 5:30 p.m., however this position works many evenings and weekends. Opportunity for a hybrid work schedule as approved by your supervisor and in accordance with the policy. This position requires flexibility as the schedule will vary, depending on the performance schedule.

 

Travel

Local travel is expected for this position. Travel for professional development opportunities may be available.
